Scaling Up: Moving All Your Clients Over

You've done a week with three clients. You've seen workouts being logged. You've reviewed sessions and left feedback. The dashboard makes sense now.

Time to move everyone else over.

This is the part that sounds daunting but genuinely takes about 10 minutes. Here's exactly how.

## Before You Start


You'll need two things:

1. **A CSV file with your clients' email addresses.** One column, headed "email", one address per row. That's it. If your clients are in a spreadsheet already, just copy the email column into a new file and save as CSV. If they're in your phone, it's worth spending 5 minutes pulling them into a spreadsheet first.

2. **A programme to assign them.** You probably already have one from your pilot. If you want different clients on different programmes, you can do multiple imports — one batch per programme. Or import everyone first and assign programmes individually afterwards.

## The Bulk Import


From your dashboard, go to **Add Client** and choose **Bulk Import**.

You'll see a simple form:
- Upload your CSV file
- Optionally set **default onboarding settings** — this is the powerful bit

When you expand this section, you can pre-configure what happens the moment each client accepts their invitation:

- **Assign a Programme** — every imported client gets this programme automatically. They see it the moment they log in. No empty screens, no confusion.
- **Add to a Team** — if you've set up teams (useful if you coach group programmes or want to share resources with a cohort).
- **Assign Questionnaires** — if you want clients to fill in an onboarding form when they join (goals, training history, injuries, etc.).

For most coaches doing their first full import, I'd recommend at minimum setting a programme. That way, when your clients get the invitation and sign up, everything's already there waiting for them.

## What Your Clients Experience


Here's what happens from your client's perspective:

1. They get an email invitation from the platform
2. They click the link, create a password
3. They see their programme immediately (because you pre-assigned it)
4. They can start logging workouts straight away

No setup. No confusion. No "what do I do now?" The fact that you've front-loaded the programme assignment means their first experience of the app is useful, not empty.

## A Note on Timing


You don't have to import everyone in one go. Some coaches prefer to do it in batches:

- **Week 1**: Import your most active clients (they'll generate dashboard activity quickly)
- **Week 2**: Import the rest
- **Ongoing**: Add new clients individually as they sign up

There's no wrong way to do this. The bulk import is there for speed, but you can drip-feed if you'd rather manage the transition gradually.

## What to Tell Everyone


If you haven't already, now's the time to send a message to your wider client base. Here's a quick one:

> Hi everyone — I'm moving my programming and session tracking over to a new platform. You'll get an email invitation shortly. Just sign up and your programme will be there waiting. It's a much better experience for tracking your sessions and I'll be able to give you feedback directly through the app. Any questions, give me a shout.

Send that to your WhatsApp group, your email list, or however you normally communicate with clients. Then trigger the import. By the time they see the invitation email, they'll know what it is.

## After the Import


Once your clients start joining, your dashboard fills up quickly. You'll see:

- New clients appearing in your client list
- Programmes being activated as people sign up
- Sessions being logged across the board

This is the tipping point. You've gone from "trying a tool" to "running your coaching business on a platform." The scattered spreadsheets, the WhatsApp threads, the PDF programmes — they're behind you.
